Maximize Delivery with Effective Kanban Meetings

Are you looking to enhance your team’s delivery focus and streamline workflow? Implementing an effective Kanban Meeting, based on Level 2 of the Kanban Maturity Model (KMM), can significantly improve your team’s productivity and ensure consistent value delivery.

Steps to Implement an Effective Kanban Meeting:
1. Schedule Regular Meetings:
• Frequency: Hold Kanban Meetings daily or several times weekly, depending on your team’s workload.
• Duration: Keep the meetings short and focused, ideally between 15-30 minutes.

2. Prepare the Kanban Board:
• Ensure your Kanban board is up-to-date before the meeting. This includes moving tasks to their current status and adding any new tasks.
• Use visual signals (e.g., colors, tags) to highlight priorities, blockers, and deadlines.

3. Structure the Meeting:
• Review Work in Progress (WIP): Discuss tasks in the “In Progress” column. Identify any blockers and seek immediate solutions.
• Focus on Flow: Check the movement of tasks across the board. Ensure tasks progress smoothly from “To Do” to “Done.”
• Prioritize Delivery: Emphasize completing tasks over starting new ones. Encourage the team to focus on finishing work before taking on new tasks.

4. Identify and Resolve Blockers:
• Ask team members to identify any obstacles hindering progress. Facilitate a discussion to find quick and effective solutions.
• Use this opportunity to reallocate resources or adjust priorities to overcome blockers.

5. Continuous Improvement:
• Encourage feedback from the team on the meeting’s effectiveness. Ask what’s working well and what can be improved.
• Make incremental adjustments to the meeting structure and process based on this feedback.

By implementing these practices, Tech Managers can ensure their teams stay on track and consistently deliver high-quality results.
